How do I use filters in Rio tables?

This article explains how to use the various filters in Rio so that you can quickly find and access the information and data you need.

Can I use multiple filters?

 There are a number of different tables within the Governance (Legislation, EMS Aspects & Impacts register), Data and Tasks areas of Rio that can be filtered and organised to help you find and extract the information you need.

The tables within Rio act in a similar way to what you'll be used to in a common spread sheet.  As with an excel spread sheet, multiple filters can be used in conjunction with each other to help you narrow down your search.  Once a filter has been applied to a column the funnel symbol will remain in the column header letting you know a filter has been applied. 

 

How do I sort my table?

The information on the table can be sorted by clicking on each of the column headings. The entire table can be sorted A-Z (↑)or Z-A (↓), or numerically low-high (↑) or high-low(↓).

 

What do all these symbols mean?

When you hover your mouse/cursor over a column header in a table a ‘burger icon’ Screenshot 2021-04-22 at 17.21.33will appear. This icon will turn blue when you hover directly over it, allowing you to select it. When you click on this icon the following filter options box will appear, giving you a range of options:

  • Pin Column – this allows you select a column and secure it to either the left or the right of the entire table. Pinned columns will remain visible when scrolling the table.
  • Autosize This Column – This will expand the width of the column that include wrapped text
    • Column width can also be adjusted by dragging the vertical bars at the top of the columns
  • Autosize All Columns – This will expand the width of all columns that contain wrapped text

The funnel symbol Screenshot 2021-04-22 at 17.19.50 in the middle of the filter options box allows you to filter by searching for items or select/de-select items using the check boxes.

The table icon Screenshot 2021-04-22 at 17.20.40 on the right of the filter option box allows you to show/hide the columns through the use of the check boxes.

When you're in the table you can also re-organise the columns by dragging them around by clicking and holding down the mouse button.

 

How do I use numerical filters?

Tables containing date or numerical data have additional filtering options that allows two different conditions to be strung together if desired:

Each filter provides a dropdown list of filter options to select from. Each filter option represents a filtering strategy, e.g. 'equals', 'not equals', etc.

Condition 1 and Condition 2 - Each filter initially only displays Condition 1. When the user completes the Condition 1 section of the filter, Condition 2 becomes visible.

Join Operator - The Join Operator decides how Condition 1 and Condition 2 are joined, using either AND or OR.

 

How do I export information from these tables?

Data can be exported from any table by right clicking with your mouse. When you right click the following option will appear that allows you to export your data into a spread sheet. Any filters applied in your table prior to exporting will be applied to the spread sheet output.  When exporting please make sure that you don't navigate away from the page in Rio, otherwise your export will be cancelled.

We recommend that you only attempt to export less than 10,000 rows of data at any one time (depending on your internet speed).  If your internet speed isn't great it could take you a while, or could result in a 'time out'.  If you think you need to export more than this amount at any one time, then please contact one of the Rio team.
