How to configure and update tags

This article explains the function of tags in Rio and how to configure and edit them.

How does Rio use tags?

Tags are a way of grouping locations according to a specific criteria. For example, if you would like to group your locations by building type (office, data centre, warehouse, etc.)  you can tag each location with it's respective grouping. 

The use of tags can be useful in allowing you to  group your data according to any characteristic important to your organisation. Locations can have up to 5 tags each, and can therefore be grouped in a myriad of different ways.  This will support filtering in dashboards and data transactions tables to allow you to only see data based on selected tags. If you need to provide a breakdown of energy or emissions data in sub categories within your organisation for reporting purposes,  tags will allow you to do so.  

To configure tags in Rio, follow these steps below:

 

1. Find the Tags page 

First,  navigate to the Tags section through the Configuration tab which can be found in the left-hand side bar. Select Tags in the configuration menu: 

2. Adding tags 

To add a tag select the blue   "+Create Tag"  button in the top right hand corner. 

 

From here you will see the following pop-up window, where you will enter all the details regarding the tag you would like to create. 

  • Tag Name - Provide a name for your tag. Use the term associated with this location most commonly in your organisation. We reccomend you label the tag if you plan on using multiple tags to label each location. For one site this may look like:
    • Company HQ Site
      • Building Type: Office 
      • Region: EMEA
      • Lease: Owned
      • Division: Operations
  • Locations - You have the option to add locations which you have already created to the tag. To do so, you can select the locations from a dropdown menu. This is not mandatory and for large organisations we recommend you configure new tags, then update the location list in bulk with those tags

Select "create tag" when you're ready to save, and you will receive an update on the status of your created tag in the top right-hand corner.  

Note:  All Tags must be configured in Rio first before locations can be uploaded in bulk. For more information on configuring locations please see our support article here

Note: Tags cannot be removed or deleted in the front end. You can edit an existing tag ,but all tags once created, cannot be removed from configuration. 

If you wish to rename or edit a tag, follow these steps below:

1. On the "tags" page of configuration, find the tag you wish to edit, and select the pencil icon to the right of the tag

2. Once selected, either rename, or edit any locations for your tag.

3. Select "update tag" to save changes
